In line with the Vietnamese Party and State’s policy on digital transformation and administrative procedure reform, as well as to enhance the efficiency of state management in industrial property, the Vietnam’s National Office of Intellectual Property (IP Vietnam) has announced the implementation of electronic document issuance for administrative procedure results.
Accordingly, from January 1, 2025, all documents resulting from the resolution of industrial property administrative procedures (including decisions, notices, and official letters) issued by IP Vietnam will be sent to the applicant’s registered email address. This initiative aims to reduce processing time, lower costs, minimize paper usage, and contribute to environmental protection.
The email will contain the following information:
• The industrial property application number;
• The document number and issuance date;
• A link to access the document on IP Vietnam’s system;
• A document access code (automatically generated for data security).
Applicants can use the access code to log into the system, view the content, or download the document for storage and use when needed. These electronic documents hold the same legal validity as paper documents, simplifying the administrative process between IP Vietnam and businesses or individuals.
In cases where applicants do not have a valid email address, IP Vietnam will continue to issue paper documents via traditional methods.
The implementation of electronic issuance marks a significant step forward in the digital transformation of IP Vietnam, facilitating a more efficient and convenient process for businesses and individuals in obtaining industrial property protection.
